Confidentiality Policy
Protection of trust, information, and shared stories
Purpose
This policy establishes expectations for safeguarding confidential, sensitive, and private information entrusted to The Art of Drinking Water (“the Organization”). Confidentiality is essential to maintaining trust, protecting community voices, and ensuring ethical governance.
Who This Policy Applies To
- Board members and officers
- Volunteers and operational leaders
- Independent contractors, consultants, and collaborators
What Is Considered Confidential
- Non-public board discussions, deliberations, and materials
- Donor information and financial records
- Grant applications, reports, and internal planning documents
- Personal information shared by participants or community members
- Unpublished stories, reflections, or recordings shared in trust
Use & Disclosure
Confidential information may be used only for legitimate organizational purposes and may not be disclosed outside the Organization without authorization, consent, or legal requirement.
Public Storytelling & Consent
- No story is shared without informed, voluntary consent
- Consent may be withdrawn at any time prior to publication or release
- Individuals may choose anonymity or limits on use
- Translation or adaptation requires the same level of consent
Exceptions
Confidential information may be disclosed when required by law, court order, or to prevent serious harm, consistent with ethical and legal standards.
Violations
Breaches of confidentiality may result in corrective action, removal from roles, or termination of agreements, consistent with bylaws and applicable law.
